Get up and running with Hiper in an afternoon

From a new account to your first probation review – how to set up Hiper, step by step.

This guide takes you from a new account to your managers receiving their first probation review reminders. You don't have to do everything at once, but if you follow the steps in order you will have a working setup the same day.

1. Create your account

Go to Create account and enter your company name, your name, your work email and a password. Hiper is free for 12 months and no credit card is required.

We send a confirmation link to your email. Click it and you are signed in straight away. Can't find the email, or has the link expired? Go to the sign-in page, enter your email and choose Send a new confirmation link.

Whoever creates the account becomes an admin and can see every part of Hiper.

2. Add your employees

Open Organization in the menu and click Add Employee. For each person you enter, among other things:

  • name and work email
  • start date
  • employment type – permanent, fixed term, intern or consultant
  • job title, department and location
  • their manager

For permanent employees, Hiper automatically suggests a probation end date six months after the start date. You can change it if you have agreed on something else.

By default the employee receives an email invitation and chooses their own password.

Lots of employees? Choose Bulk Upload in the same dialog. You can upload a CSV or Excel file, or paste rows straight from a spreadsheet. Download the template first and all the columns will already be in place.

Tip: Add your managers first. Then you can select them as the manager when you add their team members.

3. Set up your probation reviews

A review in Hiper is called a cycle. Go to Performance → Cycles and click Create Cycle. The wizard has five steps:

  1. Basics – the name and type, for example probation.
  2. Form – choose the questions the manager and employee will answer. Build your own form or let Hiper suggest one.
  3. When – decide who gets the review and when. The simplest option is an automation rule, such as 30 days after start date.
  4. Email – the message sent when the review is assigned.
  5. Reminders – when reminders go out and when the review is due.

A common setup for a six-month probation period is three cycles:

CycleRulePurpose
First check-in30 days after start dateHas the person settled into the role?
Midpoint90 days after start dateIs it heading the right way? Is support needed?
Decision input150 days after start dateInput for the decision about continued employment

With automation rules nobody has to remember the dates. When an employee reaches day 30, the review is assigned and both manager and employee get an email.

4. How managers use Hiper

Managers see their people under Team: each person's timeline, upcoming and ongoing reviews, and a summary of how things are going.

Employees see their own journey and reviews under My Journey, and answer their part of each review there.

5. Follow up and decide in time

Under Performance → Overview you see the whole company: who is on probation, which reviews are complete and where something needs attention. Reports gives you the underlying data, for example on probation periods and completed reviews.

The decision about continued employment is made on the employee's page. In Sweden, the employer must notify an employee on probation at least two weeks in advance if the employment will not continue. Read more in our article on probation periods under Swedish law.

6. Invite more admins

Want HR or a colleague to run Hiper with you? Go to Settings → Permissions and choose Grant Admin Access. You can also give individual people access to only some areas, such as Cycles or Organization.

More to explore

In Settings you can also upload your logo for emails, connect Slack for reminders, and set up onboarding for new hires who haven't started yet.
